The Challenge: Overcoming a Maintenance-Heavy FP&A Environment

Jason Windows, a manufacturing company based in Perth, Western Australia, operates in a competitive and operationally complex environment. The company manufactures aluminium windows and doors for the residential building industry, supported by an ERP system designed to manage a complex, multi-stage manufacturing and site installation process. To support growth and maintain strong financial oversight, the finance team relied on an FP&A tool that was increasingly difficult to manage.

 

Their existing solution was maintenance-heavy and lacked the dashboarding and visualization capabilities needed to provide clear, actionable insights. Time that should have been spent analyzing data and supporting strategic decisions was instead consumed by system upkeep and manual processes.

The Solution: Flexible, Excel-Native Planning That Enables Confident Decision Making

Since becoming a Vena customer in 2017, Jason Windows has transformed its approach to financial planning and analysis. Implemented in partnership with Vena, the transition required just 80 hours of consultant time, complemented by internal enablement through Vena Academy. The result was a smooth rollout and rapid user adoption. 

To achieve this, Vena’s Excel-native interface made all the difference. Because the finance team was already comfortable working in Excel, the shift felt natural and intuitive. Just as importantly, the Excel front end made Vena easier to adopt across the broader business. Operational users could continue working within familiar Excel templates and reports, which meant they did not see Vena as another new system to learn. Instead of forcing new processes, Vena enhanced the way teams already worked, while adding the governance, control, and automation of a centralized planning platform. 

The impact was immediate: Maintenance demands dropped significantly, freeing the finance team to focus on higher-value activities. Budgeting and forecasting became more streamlined. Collaboration between departments improved, creating stronger alignment between financial and operational planning.

 

The team also leverages Vena’s integration with Power BI to build dashboards that combine Vena data with ERP and market data sources, creating a centralized, business-wide view of performance for more effective information distribution and decision making. 

The platform’s flexibility proved especially valuable during the COVID-19 pandemic. With constant uncertainty affecting supply chains, demand patterns, and operational costs, Jason Windows leveraged Vena to model multiple scenarios and adapt quickly. 

By enabling integrated FP&A, budgeting, forecasting, scenario modeling, and connected reporting through Power BI, Vena has become an essential part of how Jason Windows navigates change and manages reporting. The finance team now delivers timely, reliable insights that support confident decision making across the business.
