VENA DEMO INCENTIVE PROGRAM - TERMS & CONDITIONS

Effective Date: November 14, 2025

Program Overview

Vena Solutions Inc. ("Vena") offers eligible participants a gift card incentive for attending and completing a qualified product demonstration. By participating in this program, you agree to these Terms & Conditions. 

Eligibility Requirements

Eligible Participants 

  • Business professionals interested in Vena's financial planning and analysis software 
  • Individuals authorized to attend demos on behalf of their organization 
  • Residents of the United States and Canada (excluding Quebec) 

Exclusions - The Following Are NOT Eligible: 

  • Government employees and public sector workers at any level (federal, state/provincial, municipal) 
  • Financial institution employees including banks, credit unions, investment firms, insurance companies, and financial services organizations 
  • Healthcare organization employees including hospitals, clinics, medical practices, and healthcare systems 
  • Quebec residents (due to promotional law requirements) 
  • Individuals whose employers prohibit acceptance of vendor gifts of any kind or value 
  • Current Vena customers or existing users of Vena software 
  • Vena employees, contractors, and their immediate family members 

Demo Requirements

To qualify for the gift card incentive, participants must: 

  • Schedule a demo through official Vena channels 
  • Attend the complete scheduled demonstration session 
  • Participate actively in the demo (minimum 30 minutes duration) 
  • Provide required contact information for gift card delivery 
  • Represent a qualified business with potential need for financial planning software 

Incomplete demos, no-shows, or early departures do not qualify for the incentive. 

Gift Card Options 

Participants may choose from the following retailer-specific gift cards: 

  • Amazon ($100 value) 
  • Uber ($100 value) 

Important: Cash, cash equivalents, Visa/Mastercard prepaid cards, and other general-use payment cards are not available options. 

Gift Card Terms 

  • Value: $100 USD (or CAD equivalent for Canadian participants) 
  • Expiration: Minimum 5 years from issue date as required by applicable consumer protection laws 
  • Fees: No activation, maintenance, or processing fees 
  • Delivery: Electronic delivery within 10 business days of demo completion 
  • Transferability: Gift cards are non-transferable and have no cash value 
  • Replacement: Lost or stolen gift cards cannot be replaced 

Tax Responsibilities 

Recipients are solely responsible for any applicable taxes on gift card value. This may include reporting the gift card as taxable income under applicable federal, state, or provincial tax laws. Vena recommends consulting with a tax professional regarding your specific obligations. 

Privacy & Data Collection 

Information We Collect 

To participate in this program, we collect: 

  • Name and business contact information 
  • Company name and role 
  • Email address for gift card delivery 
  • Demo attendance verification data 

How We Use Your Information 

  • Gift card fulfillment: Processing and delivering your selected gift card 
  • Program administration: Verifying demo completion and eligibility 
  • Business communications: Following up on your software evaluation process 
  • Legal compliance: Meeting tax reporting and record-keeping requirements 

Data Protection 

We protect your personal information in accordance with our Privacy Policy and applicable privacy laws including PIPEDA (Canada) and relevant U.S. state privacy regulations. Your information will not be sold or shared with third parties for marketing purposes. 

Data Retention 

We retain participant information for 7 years for tax and business record purposes, after which it is securely deleted. 

Program Limitations 

  • One gift card per person - regardless of number of demos attended 
  • One gift card per company - limit one incentive per organization 
  • Subject to availability - program may be modified or terminated at any time 
  • Verification required - Vena reserves the right to verify eligibility and demo completion 
  • Geographic restrictions - available only in United States and Canada (excluding Quebec) 

Compliance & Legal 

  • Participants must comply with their employer's gift acceptance policies 
  • This program is subject to all applicable laws and regulations 
  • Vena reserves the right to modify these terms with 30 days notice 
  • Fraudulent participation will result in program exclusion and potential legal action 
  • These terms are governed by Ontario, Canada law

Acknowledgment 

By participating in this program, you acknowledge that: 

  • You have read and agree to these Terms & Conditions 
  • You meet all eligibility requirements 
  • You are authorized to accept this gift card under your employer's policies 
  • You understand your tax responsibilities 
  • You consent to the collection and use of your personal information as described 

This program is a marketing incentive for software demonstration attendance and is not contingent upon any purchase decision or business commitment.
