Vena Solutions Inc. and its group of companies (collectively “Vena”) respects and is committed to protecting your privacy. Our Privacy Policy (the “Policy”) sets forth the privacy principles that Vena follows with respect to the handling and treatment of Personal Information (as defined in the Policy).
The Policy and this Privacy Notice describes how Vena Solutions collects and uses the Personal Information provided by you when applying for open positions with Vena. It also describes the choices available to you regarding the use of, your access to, and how to update and correct your Personal Information. Unless otherwise specified in this Notice or our Privacy Policy, the use of Personal Information collected through the employment application process shall be limited to the purpose of establishing a potential employment relationship. What Personal Information is Collected by Us
We collect information about you in three ways: directly from your input, from third-party sources, and through automated technologies.
Data You Provide to Us
The types of Personal Information that we collect directly from you depends on how you interact with Vena. By submitting an application for potential employment, the Personal Information may include, but is not limited to:
- Contact details, such as your name, email address, postal address and phone number;
- Work authorization status;
- CV, résumé, cover letter, previous work experience, and education information;
- Knowledge, skills, abilities, and preferences, including learning agility, aptitude, and working style and preferences;
- Professional and other work-related licenses, permits, and certifications held;
- Referral names and contact information for referrals;
- Information relating to character and employment references;
- Comments, feedback and other information you provide to us, including surveys, or questions;
- Interests and communication preferences, including preferred language; and/or
- Any other information you elect to provide to us (e.g., employment preferences, willingness to relocate, current salary, desired salary, awards, or professional memberships).
If we ask you to provide any other Personal Information not described above it will be made clear to you, prior to collection, what Personal Information we require and the reasons we require it. We will also inform you at the time of collection if any such Personal Information is considered mandatory for us to administer your relationship with us, and inform you of any consequences for not providing any such mandatory Personal Information.
Data From Other Sources
We also may obtain contact details and other information about you from our service providers and from other third parties, including:
- Service providers who we engage to conduct Background or Education verification checks; and/or
- Publicly-available sources and data suppliers from which we obtain data to validate or supplement the information we hold.
Data From Service
Vena may automatically collect information about how you and your device interact with Vena, including:
- Computer, device and connection information, such as IP address, browser type and version, operating system and other software installed on your device, mobile platform and unique device identifier and other technical identifiers, error reports and performance data;
- Usage data, such as the features you used, the settings you selected, how you engage with the Services; and/or
- For location-aware Services, the region, city or town where your device is located in order to provide you with more relevant content for where you are in the world.
We collect this data through our servers and the use of cookies and other technologies. You can control cookies through your browser’s settings and other tools.
How We Use Your Personal Information
Vena uses your Personal Information for the purposes of carrying out its job application and recruitment process. Such uses include, but are not limited to:
- Deliver targeted advertisements, promotional messages, notices and other information related to the Vena employment opportunities and your interests;
- Provide you with promotional messages and other information about events and services of ours;
- Invite you to participate in surveys and similar promotions;
- Identify usage trends and develop data analysis, including for purposes of research, audit, reporting and other business operations, including determining the effectiveness of our recruiting campaigns and/or comply with our legal obligations and resolve disputes.
- Assessing your skills, qualifications, and interests against our career opportunities and determining your suitability for employment;
- Deciding whether to offer you a job;
- Verifying your information and carrying out reference checks and/or conducting background checks (where applicable) if you are offered a job;
- Communications with you about the recruitment process and/or your job application(s), including, in appropriate cases, informing you of other potential career opportunities at Vena;
- Recommending potential career opportunities based on your skills, qualifications, and interests;
- Creating and/or submitting reports as required under any applicable laws or regulations;
- Where requested by you, assisting you with obtaining an immigration visa or work permit where required;
- Making improvements to Vena’s job application and/or recruitment process, including improving diversity, equity, and inclusion in our recruitment practices;
- Complying with applicable laws, regulations, legal processes, or enforceable governmental requests; and/or
- Proactively conducting research about your educational and professional background and skills and contacting you if we think you would be suitable for a role with Vena.
If you are offered and accept employment with Vena, the Personal Information collected during the job application and recruitment process may become part of your employment record.
If we need to process your Personal Information for a purpose not discussed in this Privacy Notice, we will provide notice to you and, if required by law, seek your consent. Lastly, Vena does not subject you to automated decision-making.
How We Protect Your Personal Information
Vena considers your Personal Information as sensitive and protects your Personal Information by employing a combination of technical, procedural and administrative controls.
How We Share Your Personal Information
Vena takes care to allow your Personal Information to be accessed only by those who need such access to perform their tasks and duties, and to third parties who have a legitimate purpose for processing or accessing it. As such, we may share your Personal Information as described in this Privacy Notice to the following categories of recipients:
- Upon request, to a Vena employee who referred you to inform them about the limited, general status of the referral.
- To our contractors, business partners, service providers, and other third parties who require the data to carry out work relating to the job applicant and/or recruitment process on our behalf, provided such parties provide at least the same level of privacy protection as is required of Vena. These companies are authorized to use your Personal Information only as necessary to provide these services to us.
Please note that we do not sell (as defined in applicable data protection and privacy laws) your Personal Information.
Access, Updating or Removing Personal Information
Vena maintains accurate, complete, and relevant Personal Information for the purposes identified in our Privacy Policy and this Notice. Upon a request from you, Vena will provide you access to your data that is stored by us. You may, at any time, choose to correct, update, or request deletion of the information you have submitted to Vena by contacting us at privacy@venacorp.com. You can also contact us at privacy@venasolutions.com with other requests related to your data. We will respond to your request within 3-5 business days.
Data Retention
We will keep your Personal Information for as long as it remains necessary for the identified purpose or as required by law, which may extend beyond the termination of our relationship with you. We may retain certain data as necessary to prevent fraud or future abuse, or for legitimate business purposes, such as analysis of aggregated, non-personally-identifiable data, or if required by law. All retained Personal Information will remain subject to the terms of Vena’s Privacy Policy and this Notice. If you request that your name be removed from our databases, it may not be possible to completely delete all your Personal Information due to technological and legal constraints.
